Terms of enrolment for international students

These Terms and Conditions of enrolment to The University of Auckland are to be read in conjunction with the University Calendar.

They form part of the agreement between The University of Auckland and the student named in the Offer-of-a-Place upon acceptance.[1]

1. Law, University statutes and jurisdiction

1.1 This agreement is subject to the laws of New Zealand and the parties submit to the exclusive jurisdiction of the New Zealand Courts in all matters arising from this agreement and the Offer.

1.2 The parties shall abide by any statutes or regulations established from time to time by the Council of the University and published in the calendar or otherwise notified to the student.

2. Student visa or permit

2.1 This agreement is conditional upon the student obtaining the appropriate student visa or permit to enable them to live and study in New Zealand. [2]

2.2 The Offer does not guarantee that the student will be issued with the appropriate student visa or permit.

2.3 The student is responsible for complying with all conditions relating to the student visa or permit.

2.4 The Student is responsible for providing a copy of the student visa or permit to the International Office at the beginning of Semester.

2.5 If the student fails to obtain or maintain a valid student visa or permit or is required to leave New Zealand for whatever reason, this agreement will lapse and the University may offer the place of enrolment to another student. If this agreement lapses in this way, clause 7 of the Terms and Conditions apply to such a student as if he or she had deleted from the Course of Study, and the student may be entitled to a refund.

3. Health and travel insurance

3.1 Under the Code of Practice for the Pastoral Care for International students you are required to have appropriate health and travel insurance for the period of study.

3.2 Payment of Health and Travel Insurance is a condition of enrolment and this charge will be automatically charged to your student fees account.

3.3 If you already have insurance or wish to select an alternative insurance provider your policy will need to be assessed by the University to ensure the policy meets University policy standards. If your alternative insurance is deemed to meet the requirements a waiver will be issued.

4. Recognition of prior learning

4.1 Recognition of prior learning can be applied through the International Office. There is no charge for this service.

4.2 The student must submit an official academic transcript and detailed course descriptions of prior study to the International Office. The International Office will liaise with the appropriate faculty and inform the student of the outcome of their application.

4.3 This process is normally done as part of the original application but an application for the recognition of prior learning can be made at any time.

4.4 The student will not be granted credit retrospectively for courses that have already been completed at The University of Auckland.

5. Enrolment

5.1 Student can accept the offer online on Student Services Online or by signing the Offer and returning a copy to the International Office. Alternatively, once tuition fees have been paid, the International Office will accept the Offer on behalf of the student.

5.2 Acceptance of the Offer entitles the student to enrol at the University in the Course of Study specified in the Offer.

5.3 Students under 18 years of age will not be entitled to enrol until the consent of their parent or legal guardian has been given to The University of Auckland in writing and accommodation has been approved.

6. Tuition fees

6.1 Tuition Fees are paid in full for the first year of the Course of Study. Students will have to pay the fees as per their enrolment.

6.2 For subsequent periods of study, the student agrees to ensure that the tuition fees are paid in full no later than the date on which the student is required to enrol during the University's official enrolment period. [3]

6.3 Enrolment is subject to full payment of all fees due on or before the due date. If payment of the tuition fees is not made by the due date, the University may cancel this agreement.

6.4 Students pay fees according to the current fees schedule, adjusted upwards by 5 percent for returning students. This applies to the stated minimum duration of their offer only. If the student does not complete the program in the minimum duration stated in the offer letter he will be charged new fees for the balance duration.

7. Refund and deletion policy

When considering deletion from the Course of Study, the student should first approach the International Office for guidance. The student may be entitled to a refund of part or all of the tuition fees paid to the University in the circumstances set out below:[4]

7.1 The deadlines for deletion and refunds are as follows:

  • The second Friday of the course for one semester courses; and
  • The fourth Friday of the course for courses taught over both semesters (double semesters); and
  • The first Friday of the course for Summer School courses.

7.2 If the student notifies the University of deletion of enrolment after the payment of tuition fees but within the deadlines, the University will refund the fees paid, less an administration charge of NZ$1,000.00.[5]

7.3 If the student decides to delete from the Course of Study, after the academic session has begun, he or she must complete and submit the required “Late Application to Delete a Course” form and provide any required supporting documentation to the Student Information Centre, Clock Tower.

7.4 The University refunds fees paid if the student deletes from courses after the deadlines due to medical or other exceptional circumstances.

8. Withdrawals

8.1 Any student wishing to cease attendance in a programme or course after the period specified for deletion may apply to do so by obtaining the approval of the relevant Head of Department and the Dean of the Faculty for the programme. [6]

8.2 The deadlines for withdrawals are as follows:

  • Three weeks before the end of lectures for one semester courses; and
  • Three weeks before the end of lectures for courses taught over both semesters; and
  • One week before the end of lectures for summer school courses

8.3 The course will remain on the student's academic record and show as a withdrawal. Tuition fees will not be refunded. For calculation of Satisfactory Progress, withdrawal will be counted as a failure.

9. Change of status

9.1 The student will be enrolled at the University as a "Foreign Student". If the student later becomes a "Domestic Student", the student will not be entitled to any refund of the tuition fees paid for the semester in which they change status. [7]

9.2 However, if the student gains permanent residence within the time frame set out in clause 7.1: "Deletions" the student's status will be amended to “domestic student”and domestic fees will apply. The permanent residency date will be taken from the Residence Visa in the student's passport only.[8] A copy of visa must be provided to the International Office as soon as possible. International fees will then be refunded.

9.3 The deadlines for change of status are as follows:

  • The second Friday of the course for one semester courses; and
  • The fourth Friday of the course for courses taught over both semesters (double semesters); and
  • The first Friday of the course for Summer School courses

9.4 Special conditions may apply for limited entry programmes, eg Bachelor of Medicine & Bachelor of Surgery (MBChB)

10. Change of programme

10.1 This agreement does not entitle the student to enrol in any other programme of study at the University or at any other tertiary institution in New Zealand. The Student may not transfer to another programme of study during the first semester of study at the University.

10.2 After the first semester of study the student may apply to transfer to another programme of study but any such transfer will depend on:

  • Availability of places in that requested programme of study; or
  • Selection and approval by the relevant department or faculty in accordance with prescribed University selection criteria; and
  • Such other Statutes and regulations of the University relating to change of programme of study published in the Calendar or otherwise notified to the Student.

10.3 If the student's application to transfer to a new programme of study is successful, this agreement will lapse and the University will provide the Student with a replacement Offer of a Place for the new programme of study.

11. Unsatisfactory progress

11.1 The University sets requirements for satisfactory progress during the Course of Study and the requirements are published in the calendar or otherwise notified to the student.

11.2 Where the student fails to meet the requirements for satisfactory progress in the Course of Study, the University may restrict the student's enrolment in the following period of enrolment or may suspend the Student from enrolment at the University.

11.3 Where a student is suspended under the provisions related to unsatisfactory progress, the prior permission of the University is required before the student may apply to re-enrol.

12. Internal grievance procedures

12.1 The student should contact the International Office in the first instance. If the complaint is related to International Office procedure the Manager, International Office, will investigate the grievances.

12.2 If the grievance relates to another area of the University, the manager may ask the student to put the grievance in writing and can contact the relevant department to seek resolution on behalf of the student if requested.

12.3 If the student is not satisfied he/she may make a written complaint to the Registrar.
