Backing up research data

Regular backups are vital to prevent loss of valuable research data. The tips and resources below are provided to help you prevent data loss.

Data loss can occur for several reasons, including theft, fire, virus attacks, power outages, natural disasters, software upgrades, and human error. Regular backups are important to prevent loss of valuable data.

Tips

The following are some tips and resources that you can use to protect your data:

  • Use a reliable backup solution for your data. University-approved research data storage services (Research Drive and Dropbox for researchers) are automatically backed up. For more information, refer to Choosing data storage.
  • If you use external hard drives for backing up your data, keep in mind that hard drives have a finite lifetime and can fail suddenly and without warning. Check your hard drives regularly to ensure they are working and that data is accessible. Data classified as sensitive or restricted should only be stored on a University-approved storage service (refer to the Data classification standard).
  • Consider what needs to be backed up. Some intermediate data might be expendable or easily regenerated, saving space and time in your backup strategy.
  • For important files that change over time, consider using a version control system in addition to a backup strategy.
