AI assistants at the University
We provide AI assistants – such as the UoA Assistant – to staff and students to assist them with questions and navigate our systems, websites and intranet. These AI assistants use artificial intelligence (including generative AI) and machine learning to provide responses to users and continuously improve.
If you are logged in to University systems when you use these AI assistants, and you request handover to a human agent, we will ask you for your email address and associate this with your conversation record. If you use the Pathways Advisor, we will also associate your Student ID and other personal identifiers with your automatically generated application. This means that, in these cases, we will have an identifiable record of your interactions with our AI assistants.
We will use conversation records to monitor the effectiveness of the AI assistants, including ensuring that users are provided with accurate answers. If you are logged in to University systems, UoA Assistant will remember your previous conversations in order to provide more relevant and context-aware responses to you in the future. However, your conversation records are not provided to third parties or used for training commercial AI models.
Unless you are using the Pathways Advisor, you should not include any personal information in your conversations with AI assistants, and you should be aware that conversations relating to sensitive issues will be available to relevant University employees or service providers for the limited purposes outlined above.
