Policies impacting research data management

An overview of the policies, requirements and considerations impacting how researchers manage research data.

Waipapa Taumata Rau, University of Auckland and research funders, data
providers and publishers all have requirements and expectations for
managing research data related to security, sharing, retention and
governance. Researchers are to ensure they are familiar with relevant
policies and reflect them in their data management decisions, including
referring to them in data management planning.

University policies impacting research data management

The Research Data Management Policy articulates the responsibilities of the University community for the management of research data. This policy is supported by the:

The Research Integrity (RI) Policy articulates the responsibilities within the University community for conducting research in accordance with the highest standards of research integrity, including adherence with the University's Policies impacting use of AI in research. It is supported by the:

The Privacy Policy sets out expectations for University members for the collection, access, use or disclosure of personal information. Aligns with the Privacy Act 2020 which provides rules in New Zealand for protecting personal information.

The IT Security Policy applies to all University IT users to ensure that IT resources are protected from intentional or unintentional damaging acts. In the
context of research data or governance, this policy covers all services
used in the conduct of research (e.g. capturing, storing, sharing,
analysing research data, including where the research encourages
research participants to use a service).

The IT Acceptable Use Policy impacts the use of IT resources to collect, store, share, and analyse research data.

The Intellectual Property Created by Staff and Students Policy provides a framework for managing the intellectual property created by
staff and students within the University, including research data.

Other policies that may apply

Research funders are concerned with obtaining the best outcomes for the research they fund. One of the ways they do this is by ensuring that researchers have a plan for their data throughout the whole research process. Your
research funder may have policies or be subject to legislation you
should be aware of – check with your FIRST team.

Overseas jurisdictions such as the U.S., China, and European Union are increasingly applying limitations on data handling. See University guidance on new U.S. regulations.

Data providers may have specific policies or contractual requirements relating to how data is shared, with whom it is shared and for what purpose. Some publishers have specific policies or mandates relating to open research and data sharing – check with the publisher.
