Frequently asked questions about late deletions

What is a late deletion?

A late deletion is when you request to be unenrolled from your course(s) in a given semester or quarter because of exceptional circumstances affecting your studies after the deadline to change enrolments. 

This includes removing the course(s) from your academic record.

What evidence do I need to apply for a late deletion?

You must submit a cover letter and supporting evidence from an independent professional adviser, like a medical doctor or counsellor. 

Your independent evidence must state how your exceptional circumstances have impacted your ability to continue your current semester's studies, attend lectures and complete coursework. 

It must also verify the date that the circumstances began and how long they continued. 

Evidence of the circumstances occuring by themselves are not enough to support your application. Independent evidence must be obtained that confirms how such circumstances have impacted your ability to continue your studies.

Can I drop my course without applying for a late deletion?

If the date for changing enrolments has not passed, you can drop your courses online without penalty. You can do this through Student Services Online.

If the date has passed, you can consider applying to withdraw from your courses. 

A withdrawal is when you drop a course after the deadline for changing your enrolment where you are not experiencing exceptional circumstances.

Do I have to pay a fee to apply for a late deletion?

No, you do not need to pay an application fee to apply for a late deletion. 

You may, however, be required to pay any outstanding course fees if these are not eligible for refund.

Will I get a refund of my fees if my application is approved?

You may be eligible for a partial refund of your course fees. 

Your eligibility is solely dependent on when your application is received during the semester or quarter.

When will I hear back about my application?

Once your application for a late deletion and supporting evidence has been received, we aim to process your application within ten working days.

Please note that during peak times the assessment of your application may take longer.

I am an international student; will a late deletion affect my visa status?

If your application for a late deletion is approved and you're an international student, this may affect your visa status. 

We recommend that you contact the International Office for additional support.

I am a postgraduate student, do I have to go through a different process to apply for a late deletion?

If you're a postgraduate student, we recommend that you speak with your department before you apply so that they can explain how late deletions may impact your programme and progression. 

Will my deleted course(s) appear on my transcript?

No. If you're approved for a late deletion, your course(s) will be deleted. Once processed, they will not appear on your academic record. This includes your transcript. 

However, the University does keep an internal record of any courses you have deleted.

How does a late deletion affect my GPA?

If your course(s) are deleted from your academic record, they will not affect or count towards the calculation of your GPA. 

Please note that while a concern about a course affecting your overall GPA is valid, it is not an exceptional circumstance and cannot be used as a reason to request a late deletion.

Can I apply for a late deletion after the last day of lectures for the semester?

You must submit your application for a late deletion no later than the last day of lectures in the semester or quarter you're applying for. This deadline is strictly applied. 

The only exception to this is if your exceptional circumstances affected your ability to apply for a late deletion by the last day of lectures. 

For example, you may have been hospitalised and unable to submit your application. 

If this is the case, your application for a late deletion must be made before the semester or quarter has been completed and graded. 

After a course has been completed and graded, applications for late deletions cannot be accepted under any circumstances.

Can I apply for a late deletion retrospectively?

No. A late deletion cannot be applied retrospectively for previous semesters or quarters after they have been completed and graded. 

This is because the University has record keeping obligations and reports all grades to the Ministry of Education. 

Once a semester or quarter has been completed and graded, we're unable to delete any part of your academic records and/or progress under any circumstances because it is part of our legal obligation under the Education and Training Act 2020.

How many late deletions can I apply for?

If you have applied for late deletions before, then the number of late deletions that you have applied for and been granted in the past are taken into consideration during the assessment process. 

Your application for a late deletion may be declined if you have been previously granted a number of late deletions. 

This is because a late deletion is available only in exceptional circumstances and the threshold for approval is high.
