Function Catering Guidelines
All catering and hospitality for events held on University premises must comply with the University’s Function Catering Guidelines, which outline standards for food compliance and safety, service quality and appropriate use of campus spaces.
Organisers must engage University-approved catering providers who are familiar with these requirements and capable of delivering services that meet both operational and compliance standards. Catering arrangements should be suited to the nature and scale of the event and organisers must ensure that:
- Food service is appropriate to the venue and event type
- Dietary and cultural needs are considered
- Alcohol service (if applicable) follows University approval processes
- Waste and sustainability practices are observed
Additional charges may apply for catering setup, staffing and post-event cleaning.
Cleaning and waste removal
Event organisers are responsible for ensuring appropriate cleaning services are arranged before, during, and after events. Additional cleaning and waste removal charges may apply for large or after-hours events.
AV Services
For events taking place in lecture theatres and general teaching spaces, all AV setup and equipment use must be coordinated through the Learning Environment Support Unit (LESU). External AV providers are not permitted in thesespaces without prior approval from LESU.
For venues that do not have built-in AV equipment, organisers can engage Event Services AV and Logistics, who offer tailored support including equipment hire, setup and technical operation. This team ensures AV solutions are compliant with university standards and suitable for the event’s scale and format.
Carparking
Event organisers should advise attendees of parking options, including disability access, public transport alternatives and carpooling incentives. Charges and availability vary by location and are available on the carparking site.
Photography and filming on campus
Photography services are available through Media Productions, which can capture large-scale events, portraits and promotional content. Organisers must obtain consent from attendees and ensure photography is permitted in the venue and follow the guidelines for filming on campus.
Event Services
Event Services provides professional event management expertise across the University, supporting the planning, coordination and delivery of high-quality events on campus.
The team is the University’s sole provider of conference management services and issues event facility use agreements for third party requests to ensure consistency, accountability and appropriate use of university premises. In addition, Event Services can be engaged to provide professional planning and delivery support for university-led or partnership events requiring specialised event management expertise.
