Planning tips:

  • Book via Space and Resource Booker (SRB) or contact space administrator
  • Confirm any fees and requirements early

Space and Resource Booker (SRB)

Most events held on university premises are booked through the Space and
Resource Booker (SRB), the University’s central booking system. Access to book venues for the upcoming calendar year opens annually on 1 November of
the preceding year. This ensures fair access to university-managed spaces and
allows for coordinated planning across faculties, departments and service divisions.

  • To book a room for an event using the SRB, University staff members must follow the Room Booking Process.
  • Registered Student Associations or Clubs should contact Student Groups for assistance to book rooms available on the SRB.

Third-Party Event Owners must enter a formal contractual agreement with the University to host events on campus. Only in the delivery of a contractual agreements may a University staff member book rooms using the SRB on behalf of a third-party event.

Other bookable spaces

For spaces that are not available via the SRB, event organisers should reach out directly to space administrators. Please note that additional hire fees may apply depending on the venue and services required.

Advanced room bookings

Events of strategic importance to the University can request rooms that
are managed via the SRB by Timetabling and Enrolment more than a year in
advance with the assistance of Event Services. Rooms not managed via the SBR by Timetabling and Enrolment are not eligible to be requested for advanced roombooking.

To qualify as an event of strategic importance, the event must meet the
criteria outlined for Advanced Room Booking and gain a designated status:

  • Core Event
  • Advance Conference
  • Strategic Event.
