Event Safety and Compliance Officer (ESCO)

All special events require an assigned Event Safety and Compliance Officer who is responsible for taking all practical measures to ensure the event is safe and compliant immediately before and during the event until the event has ended and all attendees have vacated the space used for the event.

 There are different levels of ESCO specified in the event risk banding methodology. The level of ESCO required will be determined by the scale, complexity and risks of the event.         

Security

Security requirements vary by event type and risk level. Additional security services must be approved by the University’s Safety and Security Manager and coordinated through Campus Environment. Requests for additional security services can be made during the ENF submission process.

Event Briefing

All staff, contractors, and volunteers must receive a pre-event briefing from the Event Owner or Event Manager. The briefing must cover site safety, emergency procedures, evacuation plans and any otherrelevant protocols.

This requirement may be fulfilled either through an in-person briefing or via a pre-event written format.

Safety and Emergency Procedures

Organisers must be familiar with the University’s emergency response protocols, including evacuation procedures and contact points for urgent assistance.

Incident Reporting

Any incident, injury, or near-miss must be reported within 24 hours using the University’s online reporting system. Serious incidents must be escalated immediately to the Health, Safety and Wellbeing (HSW) team.
