Reputational considerations

Planning tips:

  • Complete Risk Banding Assessment
  • If Orange or Red, next step is to submit the Event Notification Form (ENF)
  • Incorporate Event Coordination Group (ECG) guidance once received

Invitation of VIP or Government Officials

When inviting dignitaries, government ministers, or other VIPs, organisers must follow the Protocol Guidelines for VIP Visits. This includes liaising with the appropriate faculty, Māori and Pacific protocol advisors, and ensuring cultural protocols such aspōwhiri or mihi whakatau are planned appropriately.

Media

Engagement with media must be coordinated through the University’s Communication team. Organisers should seek approval before inviting journalists orarranging coverage, and ensure messaging aligns with our Media, Public Communication and Statement Policy.

Conduct

The University is committed to the protection and promotion of freedom of expression and academic freedom and actively fosters and supports lawful and constructive debate on any topic. However, Event Owners and Managers should be aware that Section 281(1) of the Education and Training Act 2020 gives councils the legal duty to ensure that proper standards of integrity, conduct, and concern for the public interest and the wellbeing of students attending the institution are maintained. All University members and guests are asked to act in alignment with our Code of Conduct. Hate-speech, bullying, harassment and discrimination are not protected by freedom of expression. More detail can be found in our freedom of expression and academic freedom resources.
